Warehouse Manager

JOB SUMMARY:

Responsible for overseeing the overall warehouse operations of the Montreal facility:

  • Plan, organize, direct and control the daily operations including receiving, storage, shipping, regulatory compliance, environmental control and inventory control.
  • Drive projects that improve productivity & quality related to warehousing and inventory control.
  • Establish reports, monitor and improve key supply chain performance indicators (KPIs).
  • Supervises a team of approx. 20 People.

EDUCATIONAL& TRAINING REQUIREMENTS:

Bachelor’s degree in business administration, engineering, operations management is an asset, however a minimum DEC certificate with an ongoing investment in university level education will be considered.

EXPERIENCE:

Minimum of 5 years related in warehouse work; 3 of which in a supervisory role, in warehousing or distribution, specializing in receiving, shipping and inventory control.

ASSETS:

  • Experience in an automated environment including knowledge of ERPs, RF barcoding and inventory management software is a definite asset.
  • Knowledge of material equipment operation and safety regulations.
  • Knowledge of and experience in Lean and/or Six Sigma methodology & principles.

KEY RESPONSIBILITIES:

Management of warehouse operations: 25% of time

  • Plan, direct and maintain efficient warehouse operations as per current applicable standard operating procedures (SOPs)
  • Optimize the overall warehousing process flow from start to end, interface with customer service, purchasing and logistics teams.
  • Oversee the warehouse operations through streamlined procedures and processes that ensure fast, accurate and effective delivery of goods to customers.
  • Manage change, engaging staff in process improvement initiatives & work effectively cross-functionally.
  • Ensure proper and effective SOPs are in place, are followed up on and updated.
  • Attain key metrics of service and productivity.
  • Oversee regulatory compliance of infrastructure and storage areas.
  • Ensure monitoring of temperature in the warehouse as per the SOP.

Management of a team: 60% of the time

  • Provide leadership and guidance to direct reports and additional indirect (2nd-level) reports by being present on the warehouse floor.
  • Ensure employees’ roles and responsibilities are clear. Maintain up to date job descriptions and complete performance evaluations on time.
  • Ensure effective resources are in place to achieve objectives.Constantly motivate staff to strive for an efficient and effective warehouse and office administration.
  • Set up KPIs, objectives, SMART goals and manage workload priorities.
  • Set clear work expectations, manage the employee’s performance levels addressing process deviations and roadblocks by providing clear constructive feedback on a regular basis.
  • Counsel and appropriately discipline employees who do not meet company minimum standards on attendance, performance, and/or misconduct.
  • Motivate, organize and encourage teamwork within the team and with other departments.
  • Hold regular 1 on 1 meetings and general meetings with staff.
  • Ensure backups to critical tasks/responsibilities within the team.
  • Ensure that all office and warehouse employees handling products have received proper training on corresponding SOPs related to the office and warehouse activities.
  • Ensure respect of internal policies and procedures.
  • Recognize contributions, success and behaviors supporting company values.
  • Oversee recruitment, development and training efforts. 

Management of inventory: 10% of time

  • Oversee Inventory management, cycle counting and inventory accuracy and control.
  • Ensure stock control: inventory receipt, storage, retrieval and timely delivery of goods; shipment loading & transferring; document recording and data entry into system are respecting service levels and SOPs.
  • Oversee the investigation of stock shortages, deviations from specifications, damages to shipments, delivery of partial shipments. Informed of resolving discrepancies by following-up with other departments (eg. purchasing, quality, logistics).
  • Work with sales, purchasing and quality to drive reduction in excess, short dated and obsolete inventory balance.
  • Lead the annual physical inventory as per SOP for the Montreal warehouse. 

Management of financials: 5% of time

  • Manage expenses within approved budgets, including driving cost containments and productivity improvements.
  • Ensure staffing levels are in-line with budgeted headcounts while referencing with forecast and capacity
  • Monthly review of expenses and update on variances.
